National Institute of Technology, Jamshedpur witnessed a strong Life Member turnout for its Global Governing Body Elections 2025. More than 50% of the eligible life members cast their votes, making this one of the association’s most successful elections in recent years. Vaave supported the alumni association by setting up a customized voting page, running targeted email campaigns for Life Members, and ensuring alumni across different time zones could easily access the voting link.
Background & Challenges
The alumni association of NIT Jamshedpur (NITJAA) was established in 2021 to boost relations between the institute and its alumni across the world through regular professional, intellectual, and social interactions that benefit both the stakeholders. As part of this effort, the association has set up chapters across multiple geographies to actively engage its alumni community and supervised elections for these chapters.
To realize this vision and fulfill its objectives forward, the association elects its Governing Body every year. Until 2025, these elections were conducted offline, which led to limited and restricted participation as alumni had moved to different cities and countries. For the 2025 elections, the association decided to move the process online, reserve voting rights only for Life Members, and promote the elections extensively to maximize participation.
Digitizing the Election Process for NITJAA
To meet the association’s demands, we designed a customized online voting page and made it live for the pre-defined polling window. Access to this page was restricted exclusively to Life Members. They could simply log in, navigate to the Elections section, and cast their votes for the contesting candidates. The platform was also configured to ensure the voting window opened and closed at the same time for Life Members across different time zones.
We’ve created the following voting form for NITJAA:

NITJAA built momentum for the elections by starting promotions a month in advance. They ran two focused email campaigns through the alumni portal; an announcement campaign encouraging Life Members to participate, followed by a reminder campaign to keep the election dates top of mind. The association also spread the message through LinkedIn and WhatsApp, increasing visibility and driving more Life Members to participate in the voting process.

By digitising the entire election process, the association saw higher participation from Life Members in the 2025 elections, a clear improvement compared to previous offline elections, where turnout was limited due to geographical constraints.
Improved Reach and Visibility
By beginning promotions a month in advance, NITJAA created excellent awareness around the elections. Announcement and reminder email campaigns sent through the portal, combined with outreach on LinkedIn, WhatsApp and other social media channels helped create multiple touchpoints for alumni and ensured the elections remained top of mind, ultimately driving higher participation.
A Streamlined, Repeatable Process
NITJAA now has a structured digital election system that can be reused for future association elections, reducing manual effort and administrative complexity while ensuring fairness, accessibility, and transparency.
